Job Description

  • Review, validate, and process vendor invoices and employee payment requests, ensuring these are properly matched with internal memos, contracts, and other supporting documents
  • Prepare and process payment vouchers, fund transfers, and/or bank payment instructions in accordance with company policies, accounting standards, and applicable Philippine tax and regulatory requirements
  • Maintain complete and organized documentation for all AP and payment transactions
  • Monitor and maintain accurate AP and cash subledger and aging records
  • Ensure timely settlement of outstanding obligations and prepare management reports, as required
  • Ensure appropriate tax treatment of supplier transactions, including withholding tax and VAT
  • Assist in the preparation and validation of withholding tax certificates and other applicable tax documentation
  • Perform AP-related and bank account reconciliations and investigate unusual or reconciling items
  • Assist in month-end and year-end closing and audit activities, including AP accruals and cut-off procedures
  • Serve as a key point of contact for vendors and internal proponents regarding invoice status, payment concerns, and account reconciliations
  • Identify opportunities to improve the efficiency and accuracy of AP and payment processes
  • Assist in implementing automation and process improvements within the AP function
  • Participate in the development and updating of AP policies, procedures, and process documentation
  • Support system (i.e., Netsuite, Approval Workflow) implementation, enhancement, and testing activities involving accounts payable
  • Other accounts payable and payment settlement related requirements

The Successful Applicant

A successful Accounts Payable Specialist should have:

  • A degree in Bachelor of Science in Accountancy
  • At least 2 years of relevant experience in accounts payable, general accounting, or financial operations, preferably in a renewable energy industry
  • Good understanding of Philippine accounting (PAS/PFRS) and tax requirements
  • Strong knowledge of Microsoft Excel and accounting/ERP systems (e.g. Oracle, Netsuite)
  • Strong analytical, organizational, and problem-solving skills
  • High level of attention to detail and accuracy
  • Self-motivated with strong ownership and follow-through
  • Good communication and stakeholder-management skills
  • Ability to work independently and manage multiple priorities under tight deadlines
