Job Description

As a Centralized Scheduling Expert, you will serve as a subject matter expert within the scheduling function and act as a key escalation point for complex workforce scheduling and timekeeping matters. Key responsibilities include:

  • Create, maintain, and optimise staff schedules within workforce management systems
  • Partner with operational leaders to ensure appropriate staffing coverage based on projected needs
  • Review and maintain employee timekeeping records, ensuring compliance with policies and procedures
  • Evaluate and process schedule-related requests, including shift changes, preferences, and leave requests
  • Monitor scheduling gaps and proactively support coverage planning
  • Prepare and distribute staffing, scheduling, and workforce reports
  • Support onboarding, training, and mentoring of scheduling coordinators
  • Develop and maintain scheduling documentation, workflows, and standard operating procedures
  • Serve as an escalation point for complex scheduling and workforce management concerns
  • Collaborate with stakeholders across departments to improve scheduling efficiency and workforce outcomes
  • Participate in continuous improvement initiatives related to scheduling operations and workforce planning

The Successful Applicant

  • Bachelor's degree in Business, Data Management, or a related field (non-negotiable)
  • Minimum 3 years of experience in staffing, workforce management, scheduling, or timekeeping
  • Hands-on experience using workforce management platforms such as UKG or similar scheduling systems
  • Strong understanding of timekeeping processes and schedule administration
  • Experience managing complex scheduling requirements across large workforces
  • Excellent stakeholder management and communication skills
  • Strong analytical, reporting, and problem-solving capabilities
  • Advanced organisational skills with high attention to detail
  • Experience within a healthcare environment is advantageous
  • UKG certification is preferred or willingness to obtain certification after hire
